The County of San Diego Purchasing and Contracting is soliciting proposals for event equipment rental services to support County-hosted public events, community outreach activities, emergency preparedness exercises, and employee programs. Equipment may include canopies, frame and pole tents, banquet and folding tables, chairs, portable staging, risers, podiums, pipe-and-drape, generators, portable lighting, and audio-visual systems. The contractor must deliver, set up, and strike all equipment and be available for weekend and holiday events. This contract replaces expiring Contract #563910.
• Minimum inventory: 10 tents/canopies (10×10 to 40×60), 200 tables, 1,000 chairs at time of award • Delivery, setup, and strike service countywide • Weekend and holiday availability with 72-hour advance notice for standard orders • 24-hour notice accepted for emergency County events • All tents must meet NFPA 701 fire retardancy standards • Electrical equipment (generators, lighting) must meet NEC and Cal OSHA standards • General Liability Insurance: $1,000,000 per occurrence / $2,000,000 aggregate • Auto Liability: $1,000,000 • Itemized per-unit and package pricing with delivery fee schedule • Damage deposit policy clearly stated in proposal
Eligible vendors include event rental companies with a minimum of three years of experience supplying and servicing equipment for public events or government agencies in San Diego County. Vendors must maintain sufficient inventory to support concurrent events and hold all applicable local business licenses.
